Fuel Program Clerk is responsible for providing clerical support functions, assisting FCSS Fuel Program staff, and functioning as the liaison to fuel and utility vendors. Fuel Program Clerk is responsible for maintaining and updating records and files according to the appropriate program regulations. Clerical Assistant is part of the FCSS and Capstone team, works closely with the Accounting Manager, and is responsible to the Energy Services Coordinator.
Ensure timely and smooth payments to vendors of energy and fuel assists obligated by Capstone Fuel Program staff.
Match invoices from vendors to fuel ordered by FCSS staff.
Update the client database with actual costs from the invoices.
Prepare payment drafts for the Finance department.
Reconcile fuel vendor accounts.
Research outstanding fuel orders in database.
File timely programmatic and financial reports in conjunction with FCSS program manager as required by funding sources and Capstone.
Assist Fuel Program staff by developing, preparing, typing, filing, and mailing, distributing reports, correspondence and other agency documents, and carrying out other duties related to the administration of the FCSS Fuel Programs.
Maintain and update paper and electronic participant records in an accurate and timely manner using the FCSS data bases such as PCAP.
Take general Fuel Program phone calls and inquiries and refer potential program participants to appropriate program services and other agency services and supports.
Provide backup phone assistance to local offices when necessary.
Ensure quality control checks and highest standards of quality service.
Participate in the Family Community Support Services Team events and meetings.
Other duties as required or assigned.
High school diploma or equivalent; some post-secondary education preferred.
Some experience in administrative or clerical work or office management.
Ability to communicate effectively in writing and verbally, including good phone etiquette.
Proficiency in Microsoft applications including Word, Excel, Outlook, and data base applications.
Strong organizational skills and willingness and flexibility to learn new skills.
Demonstrated sensitivity to the challenges faced by low-income people and commitment to the work of Capstone.
Ability to be flexible, work as part of a team, and under direction.
Good sense of humor, initiative, and ability to work in a fast-paced environment.
Must have reliable transportation and a valid driver's license.
