JOB DESCRIPTION

Program: Administration

POSITION: Receptionist                                              Pay Grade: 1

A.  General Statement

Provides telephone and clerical support to Administration and all programs. Reports to the Chief Operating Officer.

B.  Essential Functions

1. Provides information to the general public; answers telephone and transfers calls to appropriate staff, greets clients and visitors and directs them to appropriate staff.  Assists staff with scheduling clients as needed.  Screen clients for eligibility for services.

2. Provides clerical and computer support, assists in maintaining copiers and other office equipment including contacting providers for service and repair.  Schedules conference rooms for meetings as requested, set up and clean up after meetings, orders food for meetings, processes invoices and completes purchase orders as requested.

3. Responsible for opening, dating, sorting and distributing incoming mail to appropriate staff and sending mail to Satellite offices.  Assists staff members in preparing outgoing mail, including special services such as certified mail, UPS or Federal Express as needed. 

4. Assists clients in attaining services through information and referral to Capstone Community Action, State and Federal programs. Maintains current and accurate information and referral lists.

5. Assists Site Supervisor in maintaining and updating the hosted PBX phone system for the agency, and keeping in-house telephone lists current.  Contacting providers for service and repair as needed.

6. Responsible for ordering all basic office supplies, including ensuring that all copy areas have adequate paper supplies.

7.  Responsible for maintaining postings for job openings, notices, etc. as directed, and keeping posting boards up to date, neat and organized.

8. Assist in training of job skills to interns and volunteers as needed, and training of back up staff for front desk coverage.

9. Required to report for work punctually and maintain regular attendance as required by operational needs.

C.  Other Duties

1. Assist staff in preparation of bulk mailings, program information handouts, etc. as needed.

2. Data Entry support for staff. 

3. Assuring the reception and waiting areas and conference rooms are neat, orderly and free of hazards.  Maintaining reception and waiting areas, keeping agency brochures and other information is current, neat and well organized.

4. Assisting in planning office staff meetings, and other functions and related activities. 

5.  Other duties as assigned.

D.  Qualifications

  1. High School Diploma or Equivalent. Associates degree highly desirable.
  2. Minimum of 3 years working in community-based organization or non-profit organization.
  3. Demonstrated knowledge of Human Services programs and resources.
  4. Knowledge of issues relating to poverty
  5. Excellent communication skills, both written and oral, and ability to effectively communicate with a broad spectrum of abilities and variety of personalities.
  6. Minimum typing/WP speed of 60 wpm.
  7. Excellent computer skills; proficiency in word processing, databases, spreadsheets, preferably Microsoft Office 6.0.  Experience in desktop publishing very desirable.
  8. Exceptional attention to detail and ability to handle multiple tasks simultaneously, and to meet deadlines.
  9. Ability to work independently and as part of a team in a fast paced environment.
  10. Flexibility to adapt in reaction to unplanned or unexpected circumstances or events.
  11. Exceptional customer service skills, ability to maintain a polite and professional attitude and manner at all times when interacting with others, especially in challenging situations.  Knowledge of de-escalation procedures highly desirable.
  12. Exceptional attendance and reliability are a must for this position.
  13. Valid driver’s license and reliable, insured vehicle.
