A. General Description
The FCSS Administrative Assistant is a full-time, non-exempt position whose primary responsibility is providing the administrative support needed to ensure the efficient operation of the Family and Community Support Services (FCSS) Department. Duties will include data management, quality control, and reporting functions. The FCSS Administrative Assistant is an integral member of the FCSS team and reports to the FCSS Associate Director.
Note: During COVID-19 restrictions, work will be performed from home part-time and in the local office part-time.
B. Essential Functions:
Administrative Support: The FCSS Administrative Assistant will support the Director & Associate Director with tasks such as meeting logistics and planning, outreach and fundraising events support, staff training, new staff orientation and onboarding, ordering supplies, preparing purchase orders, filing, typing, copying, scanning, and so on.
Data Support: Perform data-related processes for the FCSS Department programs that include managing the department’s client management information systems, data quality review, troubleshooting data quality issues and identifying solutions, and developing and implementing training for staff. Identify, gather and report key data that can be used to analyze the performance of the FCSS programs and services.
Grant Management Support: The FCSS Administrative Assistant, in collaboration with the Director & Associate Director will fulfill grant reporting requirements and provide support in preparing grant applications.
C. Other Duties
Participate in ongoing professional development and training either consistent with the duties of the position or with larger career goals.
Perform other duties as assigned.
An Associate’s degree or equivalent is a plus. Proficiency with MS Office software including Excel and Word, and experience with client management databases (reporting, importing, or exporting data) is required. Familiarity with Cloud-based applications preferred.
Four years’ related work experience preferred or a demonstrated proficiency in typical administrative tasks.
Decision-making, organizational, collaborative, and polite and professional communication skills required.
Demonstrated knowledge of human services, domestic violence issues, adult development, and the education and human service networks in Vermont. Demonstrated sensitivity to issues related to poverty and the barriers faced by people with low incomes.
Willingness to occasionally work evenings and weekends.
A home telephone and internet capability, and reliable means of transportation to the work site are required.
